Add files like song audio and chord charts to the Songs page, countdowns and backgrounds to the Media page, and sermon slides to the actual Plan itself. Each page allows you to add attachments, up to a file as large as 4GB.

Administrators can check the Site Settings to see how much storage the account is allowed.

Song Files

If you have files you need when playing a particular song in a specific key, you can attach those files to a song, upload your own files, link to files, or import files from SongSelect, PraiseCharts, or RehearsalMix.

To attach a file to a song, click the + next to Files in any arrangement.

All of your files will be in one place, and they will show up when you schedule the song in a plan.

You can also create chord charts by using Lyrics & Chords.

Media Files

Files that need to be used during multiple services that aren't song files can be added to the Media page. Once the information has been added to the media, you can attach the media to a Plan Item.

You can also create text documents to attach to media items.

Editing Item

Service Type Attachments

Some files are used for a specific Service Type and need to be seen by anyone scheduled to a plan in that Service Type.

To add files to a Service Type, hover over the the title, and click the pencil icon.

Drag or drop or upload a file from the Files section in the Settings tab.

These files will be visible in every plan you create in this Service Type.

Attachments area

Files such as Team Guidelines are great files to add in the Service Type; however, song or media files should be added to the Songs or Media tabs.

Plan Attachments

Some files are used only for a specific Plan and need to be seen by those in that Plan.

You can add these files to your Plan in two different ways.

  1. Click add an attachment in the Libraries Sidebar. This attachment will be stored under the Plan Attachments heading.
  2. Hover over the attachments counter to the right of any regular item and click add an attachment. This attachment will be stored in the item on the plan.

Any file added to the Plan will stay in this plan until it's deleted. Files such as Stage Layouts are great to add to the Plan; however, song or media files should be added to the Songs or Media tab.

Files added to the Plan will still take up space in your file storage even after the plan has passed.

You may want to delete the files from the Plan when it's over to save space in your account.

Attaching Different File Types

Some file types are available everywhere; some require integrations before attaching files to them. Regardless, if you have a file that you need to attach, we have a way to attach it!

Uploading Files

If you have files from your computer you'd like to upload, click browse to find the file or drag and drop it on any screen.

We support .pdf files and .mp3 files. All other files do not always open correctly on all devices.

Once your file is uploaded:

  1. For Songs files, choose where you'd like to attach the file.
  2. For all files, specify Attachment Types if you have them enabled.
  3. Add more files by dropping them in this window or clicking browse.

Click Done when you're finished adding information.

On the Media page, your file will generate a thumbnail as well as a preview. If the file is not going to be downloaded or projected, you can save file storage by removing the file itself, as the preview will hold contents for users to be able to view.

Linking to Files Online

If you already have your files somewhere else on the web, you can link to those files without having to upload them, which saves on your file storage.

  1. Paste the address for the file in the Link box, and the Name will automatically populate.
  2. The Name is how the file will appear to everyone who views this song, so if you need to change it, you can edit it by clicking in the box.
  3. For Songs files, choose where you'd like to attach the file.
  4. For all files, if you have Attachment Types enabled, you can assign those.

Click Submit once you're finished.

Linking to YouTube Files

If there's a YouTube video you'd like your users to access, you can add one as an attachment.

YouTube links will also show up in your public plans, so when a YouTube video is in a plan, anyone who views that plan will be able to watch the video you've linked as well.

  1. Use the search bar to narrow the results that are shown to you.
  2. Click the + to select that video.

Once you click the +, you will be returned to the previous page.

The search bar allows you to search YouTube. Pasting a link won't work, so if you know the exact link of the video, you can use the Link tab.

Linking to Vimeo Files

If there's a Vimeo video you'd like your users to access, you can add one as an attachment.

Vimeo links will also show up in your public plans, so when a Vimeo video is in a plan, anyone who views that plan will be able to watch the video you've linked as well.

  1. Use the search bar to narrow the results that are shown to you.
  2. Click on the + button to select and link to that video.

Removing Plan Attachments

There are two ways to remove attachments from a plan. You can permanently delete the file, or if you've linked an item to a song or media, you can just unlink it.

Unlinking Songs and Media

When you unlink a song or media attachment, you are not deleting the file from the database, you are just unlinking it from the item it's attached to.

To unlink attachments that are added to a item in a Service Order, click the pencil next to the item.

Unlink individual songs or media items.

  1. Click unlink song to delete a song attachment.
  2. Hover over a media item, and then click the red minus sign to delete a media file.

Click Accept to accept your changes.

Deleting Service Type or Plan Attachments

When you delete an attachment from a Service Type or Plan, it will no longer be available in Services.

To delete Service Type or Plan attachments, hover over the attachment file, and click on the red minus sign.
